Call for Submissions

Overview

We invite faculty, researchers, university administrators, curriculum developers, quality assurance officers, and student leaders to participate by submitting short paper proposals documenting real-world implementations, measured outcomes, and lived experiences with Generative AI (GenAI) in higher education institutions, particularly within Competency-Based Education (CBE) frameworks.

The submission process follows a two-stage pathway:

• Summit Presentation Stage: Authors submit a 1-page Extended Abstract (of completed work or work-in-progress) for review to present during the Summit experience-sharing panels.
• Journal Publication Stage: Following the Summit, authors submit their full 5 to 10 page short papers for double-blind peer review for publication in a Special Issue of the Egerton Journal of Science and Technology.

Themes

Submissions must demonstrate the actual impact of Generative AI adoption within one or more of the following four areas:

• GenAI in Learning: Case studies on the impact of GenAI on student study habits, adaptive self-paced mastery learning, skill acquisition, cognitive retention, critical inquiry, and authentic problem-solving in competency-based frameworks.
• GenAI in Teaching: Case studies on the impact of GenAI on authentic performance assessment redesign, rubric alignment, evaluating demonstrated skill competencies vs. AI prompt generation, faculty efficiency, course delivery, and human-in-the-loop instruction.
• GenAI in Research: Case studies on the impact of GenAI on scientific discovery velocity, literature synthesis, grant proposal development, data analytics, research data management, and ethical compliance.
• GenAI in Administration: Case studies on the impact of GenAI on administrative workflow automation, student support response systems, turnaround times, operational cost savings, data privacy, and institutional decision-making.

Paper Format & Structure

Submission Requirements:

• Stage 1 (Pre-Summit Extended Abstract): 1-page high-level summary outlining completed work or work-in-progress.
• Stage 2 (Final Manuscript for Special Issue): Max 10 pages (inclusive of tables, figures, and references).
• Review Format: Double-Blind Peer Review. Authors must remove all identifying information (names, affiliations, self-referential institutional details) from the manuscript submitted for peer review.

Stage 1: Extended Abstract Structure (Max 1000 Words)

To ensure consistency and allow evaluators to assess potential fit for both Summit presentation and journal publication, the 1-page extended abstract (for both Completed Work and Work-in-Progress) must incorporate all elements of the final manuscript in condensed form:

Element Guidelines for the extended abstract:

• Title & Target Pillar: Clear title indicating the initiative and specifying which pillar it primarily addresses (Learning, Teaching, Research, or Administration).
• Submission Classification: Indicate whether the submission reflects Completed Work (fully collected data) or Work-in-Progress (ongoing implementation with baseline/preliminary data).
• Abstract & Keywords: Concise summary (100 words) and 3 to 5 keywords.
• Institutional Context & Baseline Problem: Brief description of the institutional setting, target users, and the core educational/competency gap GenAI was chosen to address.
• GenAI Intervention Strategy: Specific GenAI tools, prompts, algorithms, or platforms deployed and how they were integrated into CBE workflows or instruction.
• Methodology & Evaluation Strategy: Methods used (or being used) to collect data (e.g., competency rubrics, performance analytics, turnaround time tracking, authentic skill evaluations).
• Measured or Anticipated Impact:
  • For Completed Work: Concrete, quantitative/qualitative empirical outcomes and observed changes in skill acquisition or faculty assessment speed.
  • For Work-in-Progress: Preliminary results, trends, and expected target impact metrics.
• Ethical Considerations & Challenges: Observed or anticipated risks regarding accuracy/hallucinations, bias, data privacy, access equity, or authentic assessment integrity.
• Policy Takeaways: Direct, practical takeaways that can feed into the Summit's Day 2 Policy Drafting Workshop.

Stage 2: Case Study Paper Structure (Max 10 Pages)

Authors preparing final manuscripts for the journal Special Issue will expand their extended abstract into a complete 7-part paper structure:

Section Details:

• Title & Abstract: Concise summary of the implementation, key findings, and policy takeaways.
• Institutional Context: Background on the institution, faculty, department, or administrative unit, and the specific problem GenAI was intended to solve.
• Intervention / GenAI Implementation Strategy: Details of the GenAI tools, platforms, prompt methodologies, or administrative workflows introduced.
• Methodology & Data Collection: Methods used to evaluate impact (e.g., performance rubrics, grade/skill analytics, time-to-task measurements, qualitative feedback).
• Measured Impact & Empirical Results: Concrete data demonstrating impact (positive or negative) on competency performance, efficiency, learning outcomes, or research velocity.
• Ethical Considerations & Challenges: Observed issues regarding accuracy ("hallucinations"), data privacy, algorithmic bias, access equity, or assessment integrity.
• Policy Implications: Specific, actionable recommendations derived from the experience to inform institutional policy drafting.

Review Process & Publication Pathway

• Stage 1 Review: Extended abstracts will be evaluated for relevance to the four core pillars.
• Presentation: Twenty (20) selected authors will be invited present their findings during parallel showcase panels at the 2026 Summit (10 minute presentation + interactive Q&A).
• Poster Presentations: All other accepted extended abstracts will be invited to make poster presentations.
• Double-Blind Peer Review: Final short paper manuscripts (2–5 pages) undergo double-blind peer review by an international technical committee.
• Special Issue Publication: Peer-reviewed and accepted manuscripts will be published in a Special Issue of the Egerton Journal of Science and Technology.
